The short answer

What a pack-out list is
A pack-out list is the members list filtered to this week. It answers three questions at the packing table: how many of each share size are going out, how many of each go to each pickup site or delivery route, and who is not getting a box this week because they skipped, paused, or haven't paid. Get those three right and delivery day is calm. Get one wrong and you are short two full shares at the Saturday market with a line forming.
Why it should come from the payment system
The list goes wrong when it lives in a different place from the payments. A member pauses for July by emailing you; you update the spreadsheet but the charge still runs, or you stop the charge but the list still says pack a box. A new member signs up Thursday night and isn't on Friday's printout. When the list is generated from the same records that ran this week's charges, none of that can happen: a skip removes the charge and the box together, a new paid member appears on both, and a failed card shows as a flag rather than a mystery.
What the list should show
- Counts by share size for the whole delivery, so the crew knows what to pack before anyone looks at names.
- Counts by pickup site or route, in the order you load the truck.
- Names within each site, with the share size, for the check-off sheet at the site.
- Exceptions: skipped this week, paused, card failed, first pickup. Each is a different conversation and the list should tell you which.
- Add-ons — eggs, bread, flowers — as their own counts, since they are packed separately.
Timing and cutoffs
Set a skip cutoff — commonly 48 hours before pickup — and generate the list after it. Members who skip after the cutoff are charged and packed; that is the deal, and it should be on the sign-up page. Generating the list the morning of delivery from live data means a card that failed overnight is caught before the box is packed, not after it is handed over.
